Software for the Asbestos Management requirements of CAR 2012
The Asbestos ToolKit CS™ product includes features specific for Asbestos Management, along with standard features which are shared with our software for managing CDM.
Asbestos ToolKit CS™ allows any number of users to update the Asbestos Register, edit template based documents and add a multiplicity of attachments for the management of Asbestos in your premises including the provision of policy documents and management plans. All documents and reports can be formatted as required to meet corporate style requirements.
The heart of ToolKit CS™ is a database with its own document management system. The single database always knows where to find the latest audited version of documents and management information.
The ToolKit CS™ Knowledge Centre allows users to create their library based information and to provide pre-prepared templates for new surveys based on the extensive data provided.
The knowledge base includes 25,000 words of information about asbestos, its dangers and risks, different types of asbestos and example photographs to help the user through the 10 key steps to managing asbestos as outlined by the HSE. The knowledge base contains background information for all those who have duties under the asbestos management requirements of Control of Asbestos regulations 2012.
The management routines include consoles that analyze the entire database to provide early warning of non-compliance with the HSE's regulations and issues that need addressing relating to competence.
The Asbestos Console provides access to a consolidated asbestos register and tasking schedule for all properties; statistics on the current status of asbestos on all properties and the number of surveys carried out by type per period. Organisational statistics showing competencies and review dates are also included.
Asbestos ToolKit CS™ allows the user to establish an Asbestos Register from a list of buildings, floor by floor, room by room in as much detail as required to manage asbestos containing materials (ACMs).
Information about each ACM can be added manually or via a wizard, associated with a survey, with risk assessments carried out to the MDHS 100 formulation. The relevant information including Material, Priority and Risk Assessment scores, comments and recommendations can be included in a printable asbestos register.
Users of the Enterprise version can access Asbests ToolKit CS™ via their web browsers on a permission basis.
Users can access Asbestos related data and view photographs and documents as required, as well as uploading new ones as required.
For Hosted customers, a Surveying App is available for use on Apple iPad and Android tablet devices.
Users of the surveying application can download the app for free. However, it requires access to the main ToolKit CS Asbestos application for data synchronisation.
Once authenticated, users have access to the same properties they do on the main system. The surveyor user can carry out their survey ‘in-situ’, taking photos, editing ACM records, adding in any new items, taking samples and completing the MAS and PAS as they go through the building (with or without internet access). When the survey is complete and they next have internet access, the surveyor can then synchronise the survey data back to the main database.
Sample results can either be added onto the survey before the synchronisation or once the data is synchronised onto the main system.
The document management package included in Asbestos ToolKit CS™ is very much like Microsoft Word.
It is enhanced with features that allow automated embedding of property, survey, ACM and other data directly into any document, allowing users to maintain and enhance their own template documents and regular reports, with layouts created in your own corporate style.
Customisable templates are provided for documentation required to manage asbestos including property reports, asbestos management plans and asbestos registers. All documents are editable by the user and can be resaved as templates for future users.
Documents can be output in a variety of file formats, emailed, or simply printed. Versions can be saved and recalled at any time, with an audit trail provided as standard.
A Risk Assessment wizard enables users to carry out MDHS 100 based assessments easily.
The wizard takes users through a process that calculates the final Risk Assessment scores, allows comments and recommendations to be added and records the results for use anywhere in the database and reports.
Asbestos ToolKit CS™ allows for replicating the details and asbestos items where properties are similar. This allows large property portfolios for instance to be added quickly and easily.
ACM's can be located via a floor plan so that users controlling building access or contract job allocation, for instance, can easily identify them.
Users can identify ACMs from locally provided icons and drill down to the detail in the underlying database.
Asbestos ToolKit CS™ allows the attachment of photographs for inclusion in documentation relating to ACMs, accommodating property photographs as well as multiple ACM based photographs.
Asbestos ToolKit CS™ allows the user to record Asbestos related competency information as outlined in the regulations, and to enhance it with their own assessments. These can be in any format and attached as documents if required.
Competence can be monitored with review dates and reminders which are part of the management console. This is to ensure that competence issues are kept up to date and that the organisation's liability in this regard is minimised.
Asbestos ToolKit CS™ includes automated integration with Altius Vendor Assessment. Altius provide a robust online supplier accreditation and management system that takes a thorough evidence-based approach to checking the competences of contractors.
Organisation and Competence information in ToolKit CS™ can be automatically updated whenever it changes in Altius, so you always have the latest competence details available to you.
Asbestos ToolKit CS™ includes an automated link to the Contractor Health and Safety Assessment Scheme. CHAS are dedicated to completing health & safety pre-qualification assessments to a nationally recognised and accepted threshold standard.
Asbestos ToolKit CS™ includes extensive communications modules including tasking similar to Microsoft Outlook and a letters module with mail merge facilities.
Messaging includes links to e-mail packages and the ability to drag/drop emails and attachments from Microsoft Outlook, directly into any project or structure. Users have ample tools to allow them to manage their communications effectively from anywhere within the ToolKit™.
Fundamentally, ToolKit CS™ is a database; not just a document management system with an excellent knowledge base. This means that users can, with the help of our powerful search engine, research their ToolKit™ database to answer their day to day CDM software or asbestos management needs.
The search engine can be set to search for documents, project, site or structure data, competence records, or simply search the knowledge base for relevant information, on duties, hazard related topics and so on. This puts significant 'power' in front of users at the touch of a button, saving time, energy and stress by resolving issues quickly and efficiently from a single point of reference; ToolKit CS™.
The data exchange tool allows Asbestos ToolKit CS™ users to import data into their database from third party applications and hand held devices. In addition, complete properties and surveys can be transferred between different installations of the software, allowing external parties to easily provide documents and other information to you and vice-versa.
Administrators can set up groups of users with permissions to access, read and edit data. Set up correctly, the system can be run so that a small group of internal personnel maintain the database and a large group of external personnel access the data on a read only or need to know basis.
A major requirement of a management system is the provision of an audit trail so that past activities are traceable. ToolKit CS™ has been designed around this principle. The system administrator can access the system audit whenever required.
