Features of CDM ToolKit CS™

Software for Managing the CDM Regulations 2015

The CDM ToolKit CS™ product includes features specific to CDM, along with standard features which are shared with our Asbestos management software.

CDM ToolKit CS™ allows any number of users to initiate project detail, edit template based documents and add a multiplicity of attachments for the management of the CDM process including the provision of the Form 10, Pre-Construction Information, Construction Phase Plan, and Health & Safety File. All documents and reports can be formatted as required to meet corporate style requirements.

This CDM 2015 compliant software allows any member of the construction team (with permission) to access the data they need, be they Client, Principal Designer, Principal Contractor, Designer, Contractor or any other part of the construction management team.

The heart of ToolKit CS™ is a database with its own document management system. The single database always knows where to find the latest audited version of documents and management information.

CDM Project Wizard

ToolKit CS™ - CDM Project WizardCDM ToolKit CS™ is well served with wizards; they make the user's experience easy and straightforward whilst presenting the full package of choices available at any point in the process.

New users will find the Project Wizard very simple to use irrespective of the size of the installation or of the project. A full choice of 'New', 'Replica' and 'Template' projects is presented as a starting point so that the project creation process is as concise as possible.

CDM Management Console

ToolKit CS™ - CDM StatisticsThe management routines include consoles that analyse the entire database to provide early warning of non-compliance with the HSE's regulations and issues that need addressing relating to competence.

The CDM Console provides quick access to all current projects plus statistics on those sites without notification (F10), or other documentation that is overdue for completion.

Tasking, organisation and competency statistics are provided plus details of risk assessments created or carried out over time.

CDM Knowledge Centre

ToolKit CS™ - Knowledge BaseThe ToolKit CS™ Knowledge Centre allows users to create their own library of information and to provide pre-prepared templates for new projects based on the extensive data delivered with the software.

Exceeding 80,000 words, the included knowledge base is a carefully researched and updated source of information about the entire CDM process including over 100 hazard related topics 'in plain English'.

See the Safety Matters health & safety community website for a taste of the knowledge base content.

Enterprise Web Interface

ToolKit CS™ - Enterprise WebUsers of the Enterprise version can access CDM ToolKit CS™ via web browsers on all devices (desktop, mobile/smartphone, tablet, etc) on a permissioned basis.

Users can access CDM data and download Project and Structure documents as required, as well as approving documents and uploading new documents and drawings as required.

Mobile-Friendly Website

The Enterprise Web interface features a built-in mobile version that is specifically designed to make navigating and working with ToolKit CS™ simple and easy on a smart phone or other small-screen device.

Direct Submission of F10 (Notification of Project) to HSE

F10: Notification of ProjectOnce the project details have been entered, the Form 10 (Notification of Project) can be sent to the HSE directly from within CDM ToolKit CS™. Any changes or amendments can easily be submitted via an Additional Notification.

As with other standard CDM documents, the F10 is provided as a template that users can customise with their own corporate style.

The HSE Online Forms team are in the process of reviewing their current forms and would like feedback from users. If you have comments to make, please take the HSE Online F10 Survey to put forward your views.

Electronic Health & Safety File

During the lifetime of a structure (such as a School, Bridge, etc), many CDM Projects may be carried out.

To simplify the management of the Health & Safety File under the CDM Regulations 2015, projects can be grouped within individual structures, providing a single Health & Safety File across related projects.

Competency Recording

Competence is another issue central to the CDM regulations. The HSE have been un-prescriptive in what they require apart from the basic need for competence in skills knowledge, ability, resources and systems.

CDM ToolKit CS™ gives users the opportunity to not only use this approach but to enhance it with their own assessments. These can be in any format and attached as documents if required.

Competence can be monitored with review dates and reminders which are part of the management console. This is to ensure that competence issues are kept up to date and that the organisation's liability in this regard is minimised.

Supplier Competence

Altius Vendor AssessmentCDM ToolKit CS™ includes automated integration with Altius Vendor Assessment. Altius provide a robust online supplier accreditation and management system that takes a thorough evidence-based approach to checking the competences of contractors.

Organisation and CDM Competence information in ToolKit CS™ is automatically updated whenever it changes in Altius, so you always have the latest competence details available to you.

Reflecting their commitment to the principles of mutual recognition, Altius are proud to sit on the Safety Schemes in Procurement (SSIP) Forum Management Group (which is responsible for the day-to-day management of SSIP) and also to have developed, and now to be hosting, the SSIP Portal.

Mapping Interface

ToolKit CS™ - Mapping InterfaceCDM ToolKit CS™ includes the facility to store an OS Grid Reference or X,Y co-ordinates against each Structure/ Property and CDM Project in your database.

When users search or click through each folder of data, any results with co-ordinates are displayed on a map for easy access by the user.

The output of Structures on the map works across all ToolKit CS™ products, including CDM ToolKit CS™ and Asbestos ToolKit CS™ on the desktop, and ToolKit CS™ Enterprise Web displayed in a browser or on a mobile device.

Search Engine

Fundamentally, ToolKit CS™ is a database; not just a document management system with an excellent knowledge base. This means that users can, with the help of our powerful search engine, research their ToolKit™ database to answer their day to day CDM or asbestos management software needs.

The search engine can be set to search for documents, project, site or structure data, competence records, or simply search the knowledge base for relevant information, on duties, hazard related topics and so on. This puts significant 'power' in front of users at the touch of a button, saving time, energy and stress by resolving issues quickly and efficiently from a single point of reference; ToolKit CS™.

Document Templates, Editor, Version Control and History

ToolKit CS™ - Document EditorThe document management package included in CDM ToolKit CS™ is very much like Microsoft Word.

It is enhanced with features that allow automated embedding of project and other data directly into any document, allowing users to maintain and enhance their own template documents and regular reports, with layouts created in your own corporate style.

Standard CDM documents such as the Pre-Construction Information and Health & Safety File, present topics from the knowledge base alongside the document to prompt new users with the information they need to include.

Documents can be output in a variety of file formats, emailed, or simply printed. Versions can be saved and recalled at any time, with an audit trail provided as standard.

Project documents can be approved by the person in the appropriate role for the project (Client, Principal Designer, Principal Contractor, etc).

Risk Assessment

Risk assessment is central to the CDM process. CDM ToolKit CS™ includes a substantial Risk Assessment module backed by the knowledge base to help users through the hazard and risk identification and assessment process in a structured way.

Alternatively, single flat forms can be set up as templates or copied in from external sources as required.

Drawings & Documents Register

Any number (and any type) of drawings or other documents (or external files) can be added to the Registers area within each CDM project.

The contents of these registers can be easily attached or embedded into Health & Safety Files and other documentation.

Tasking, Letters and Messaging

CDM ToolKit CS™ includes extensive communications modules including tasking similar to Microsoft Outlook and a letters module with mail merge facilities.

Messaging includes links to e-mail packages and the ability to drag/drop emails and attachments from Microsoft Outlook, directly into any project or structure. Users have ample tools to allow them to manage their communications effectively from anywhere within the ToolKit™.

Data Exchange Tool

The data exchange tool allows CDM ToolKit CS™ users to import data into their database from third party applications and hand held devices. In addition, complete projects and structures can be transferred between different installations of the software, allowing external parties to easily provide documents and other information to your CDM projects.

Permissions Module

Administrators can set up groups of users with permissions to access, read and edit data. Set up correctly, the system can be run so that a small group of internal personnel maintain the database and a large group of external personnel access the data on a read only or need to know basis.

Audit Trail

A major requirement of a management system is the provision of an audit trail so that past activities are traceable. ToolKit CS™ has been designed around this principle. The system administrator can access the system audit whenever required.
